Who we are

nowrsvp is a product of Chaptech Ltd, a company registered in England and Wales. The service is accessible at nowrsvp.com and now.rsvp (a short-link domain operated by Chaptech Ltd and used solely to shorten invitation links sent via SMS).

For account holders (people who register and create events), Chaptech Ltd acts as the data controller for the personal data you provide directly to us.

For guests (people added to an event by a host), the event host is the data controller for your contact details. Chaptech Ltd acts as a data processor, handling your data solely on the host's behalf to deliver invitations, reminders, and RSVP management. If you have questions about why your details were added to an event, please contact the event host directly.

What data we collect

  • Account data — your name and email address when you register.
  • Event data — event details, guest names, email addresses, phone numbers, and RSVP responses that you create.
  • Address book (contacts) — if you choose to save someone to your contacts, we store their name and any contact details (email address or phone number) you provide, along with an optional note. This data is stored privately, visible only to you, and is entirely separate from event guest records.
  • Self-service RSVP data — when someone RSVPs via a public event link (without being pre-invited), we collect their name, email address (if provided), RSVP response, dietary requirements, and any message they submit. This data is held pending host approval.
  • Usage data — basic server logs and IP addresses for security, rate limiting, and debugging purposes.

How we use your data

  • To provide and operate the nowrsvp service.
  • To send event invitations, RSVP confirmations, and approval notification emails on your behalf.
  • To send SMS invitations on your behalf where you have provided a guest phone number (available on paid plans).
  • To send transactional emails such as password resets.
  • To enforce rate limits and prevent abuse of public-facing features.
  • To generate short invitation links (e.g. now.rsvp/s/abc123) that redirect to your guests' personalised RSVP pages. We store a mapping of each short code to its destination URL in our own database and record basic click counts for analytics.

Data sharing

We do not sell your data. We use the following third-party processors:

  • Resend — email delivery.
  • Stripe — payment processing and subscription billing. We store only your Stripe customer ID and subscription status; no card details are held by us.
  • Telnyx — SMS delivery for event invitations (available on paid plans). Guest phone numbers are transmitted to Telnyx solely to deliver the invitation message.
  • Mapbox — map rendering for event locations.
  • Railway — cloud infrastructure hosting (EU/US regions).
  • Cloudflare — file storage for event images.
  • Spotify — song search metadata for the music request feature.
  • Anthropic — AI responses for the AI Assistant feature. When you send a message to the assistant, the message text and relevant event context (title, date, guest count) are transmitted to Anthropic's Claude API to generate a response. Conversation content is not stored by us; only a daily message count is recorded. See Anthropic's privacy policy for details on how API requests are handled.
  • Brave Search — web search for the AI Assistant's web search feature (Plus and Max plans). When the assistant performs a web search, your query is transmitted to Brave Search to retrieve results. Search queries are not stored by us. See Brave Search's privacy policy for details.

Data retention

We retain data for the following periods:

  • Account data — held until you delete your account.
  • Active event data — held until you delete the event or your account.
  • Guest contact details (email & phone) — automatically removed 30 days after the event date. The guest's name and RSVP response are retained so the host's records remain accurate.
  • Dietary requirements — automatically cleared 30 days after the event date.
  • Archived events — events are automatically archived 30 days after their event date and permanently deleted 90 days after that (120 days from the event date in total). All associated records are removed.
  • Push notification subscriptions — event-scoped subscriptions are deleted when the event is archived. Account-level subscriptions are held until you unsubscribe or delete your account.
  • Address book (contacts) — held until you delete individual contacts, clear your address book, or delete your account. As an additional safeguard, we automatically delete all of your contacts if your account has been inactive for 6 consecutive months. “Inactive” means no login, profile update, or app activity during that period. You will not receive a separate warning before this deletion occurs; the retention period and this automatic purge are disclosed here and in the address book itself.
  • Server logs — retained for up to 30 days for security and debugging purposes.

Guest data

When an event host adds your contact details to nowrsvp, the host is the data controller for that data. We process it only to deliver the service the host requested (invitations, reminders, RSVP confirmations). Every invitation and reminder email includes a Remove my details link. Clicking it removes your email address and phone number from the event immediately. Your RSVP status is retained so the host's guest count remains accurate, but no further emails will be sent.

Your rights

Account holders — under UK GDPR you have the right to access, correct, erase, or export your personal data. You can exercise these rights directly from your account profile page, which provides a self-service data download and account deletion option. You can also contact us at [email protected].

Address book — you can delete individual contacts or your entire address book at any time from the Contacts page. Deleting a contact removes it immediately and permanently. Contact records are independent of event guest history — removing a contact does not alter past event records.

Guests — you can remove your contact details from an event at any time using the Remove my details link in any invitation or reminder email. For broader data subject requests (access, correction, erasure), contact us at [email protected] and we will assist you and, where necessary, refer you to the relevant host as data controller.

Cookies & analytics

We use essential cookies required for authentication. If you consent, we also use Google Analytics to understand how the service is used. You can withdraw consent at any time via the cookie banner. We do not use advertising cookies.
